JOB TITLE: Finance Associate (FA)

SALARY POINT: Depending on qualification and working experience

RESPONSIBLE TO (FUNCTIONAL): Chief Finance Officer HO)

RESPONSIBLE TO (ADMINISTRATIVE): Site Manager (VdM)

HOURS OF WORK: 40 hours per week and upon request of overtime

Context and Background

The Finance Associate (FA) is responsible to the AAO/SM and indirectly responsible to the CFO, for handling accounting duties for Vallée de Mai (VdM) and Fond Ferdinand (FF) management, which includes handling day-to-day office tasks, link communications and work structure between Head Office and Praslin with a strong focus on VdM where most of the revenue are collected.

Duties and Responsibilities

Work is performed by applying knowledge of accounting terminology and using spreadsheets and or automated accounting system to discharge the duties relating to financial transactions at VdM/FF

Revenue Management

  • Perform revenue reconciliation of daily sales collected from POS at  VDM; prepare and circulate weekly reconciliation reports.
  • Cross-check daily floats and cashier handovers from all points of sale to ensure accuracy and compliance.
  • Coordinate and resolve discrepancies in revenue with Sales and HQ teams by validating data from daily tabs, itemized POS reports, and handover forms.
  • Conduct daily banking transactions including preparation of revenues for night safe deposit and collection of same.
  • Monitor revenue trends and report variances or irregularities to the Assistant Accountant and CFO.
  • Conduct random cash counts at both sites to ensure proper handling and accountability of funds.

Inventory & Asset Management

  • Oversee purchase entry, stock write-offs, and adjustments in the system for both VdM and FF.
  • Verify purchase entries and conduct stock adjustment Verify accuracy in the event that stock entry is done by another party
  • Ensures accurate inventory counts for the souvenir shop, café and FF
  • Prepare monthly café expense reports from petty cash for submission to CFO/Head of Commerce and Tourism.
  • Manage fixed asset and maintain fixed asset register for all site facilities (cafeteria, souvenir shop, site manager’s house and office at Fond B’Offay), as well as Fond Ferdinand’s fixed assets and register

Accounting & Financial Transactions

  • Reconcile complimentary tickets used by DMCs and the Tourism Department, ensuring proper collection and disposal
  • Prepare monthly café expense reports for submission to the CFO/Head of Commerce and Tourism
  • Process, validate all accounting documents including invoices, cash receipts, and Incident Reports.
  • Ensure timely collection of supplier invoices and coordinate processing payments with HQ.
  • Maintain proper records of payments and hand over all collected invoices to HQ.
  • Manage petty cashat VDM, keeping accurate records and submitting timely requests for recoupment.
  • Conduct surprise cash counts at FF and VdM to ensure proper handling and accountability
  • Maintains and oversees CDM movements, including the inbound and outbound transactions for FF and VdM

POS & Systems Oversight

  • Provide timely advice and escalate technical issues related to POS or Visa machines at VDM.
  • Ensure smooth functionality of POS systems and that sales data is correctly captured and reported.
  • Update product listings and pricing in coordination with the Commerce & Tourism division.

Liaison and Communication

  • Maintain strong communication with HQ accounts team, ensuring smooth coordination of tasks and compliance with policies.
  • Record and oversee CDM (Coco De Mer ) movements including inbound and outbound transactions at VDM

Any other duties

  • The FA will also deputize administrative functions of VdM in the absence of the AAO

Qualifications and Experience

i) Minimum A candidate with AAT Final Certificate/ACCA Level one with at least 3 years satisfactory work experience; OR

ii) Diploma in Business Studies or AAT Intermediate plus three years satisfactory work experience in accounting field or minimum three to four years satisfactory working experience in the similar field

iii) Certificate in Accounting or AAT Preliminary plus four years satisfactory work experience in accounting field or similar field.

Languages:
