HOURS OF WORK: 40 hours per week, may require to work outside working hours

JOB SUMMARY

The Performance Management and Human Resource Development Coordinator is responsible for coordinating the implementation of the organisation’s performance management and training processes. The role ensures the timely administration of appraisal cycles, training activities, and HR development initiatives in accordance with approved HR policies and procedures.

The post holder supports the collection, maintenance, and analysis of HR development data, monitors progress of performance and training activities, and prepares reports to support effective decision-making by the HR Manager.

DUTIES & RESPONSIBILITIES

1. Performance Management Coordination

  • Coordinate annual and mid-year performance appraisal processes across departments.
  • Issue appraisal documentation and monitor completion timelines.
  • Follow up with departments on outstanding appraisal submissions.
  • Provide administrative support and guidance to staff and line managers on appraisal requirements.
  • Maintain accurate performance management records and databases.
  • Prepare appraisal completion updates and reports for HR review.
  • Work with supervisors to support the identification, documentation, and monitoring of underperformance cases in accordance with the Performance Management process.
  • Coordinate the administration of Performance Improvement Plans (PIPs), including monitoring timelines, maintaining records, and tracking progress updates from supervisors.
  • Provide guidance to supervisors and employees on performance management timelines, documentation requirements, and the use of appraisal tools.
  • Support the review of the performance management process by identifying implementation challenges and areas for improvement.

2. Training Coordination and Administration

  • Coordinate with Heads of Departments and supervisors to identify training needs and gather inputs for the annual training plan.
  • Prepare and consolidate the annual training plan based on departmental training needs for review by the HR Manager.
  • Liaise with departments regarding training nominations, attendance, and completion of training activities.
  • Organise logistical arrangements for training programmes, including scheduling, registration, venues, and communication with providers.
  • Coordinate administrative arrangements for local and overseas training programmes, including required documentation and follow-up.
  • Maintain accurate training records, including attendance, completion, and training outcomes.
  • Support the evaluation of training effectiveness by collecting feedback from participants and departments.
  • Maintain records of training evaluations and outcomes.
  • Monitor progress of training activities against the approved plan.
  • Follow up with departments on pending training activities and outstanding information

3. HR Development Support

  • Maintain staff training and competency records.
  • Collect and update information required for skills gap analysis and workforce development activities.
  • Support the preparation of HR development reports and summaries.
  • Promote awareness of training opportunities and HR development initiatives.
  • Provide operational feedback on challenges and improvement opportunities identified through implementation of HR processes.
  • Maintain updated records of staff qualifications, certifications, skills, and development activities.
  • Support staff development initiatives, including mentoring, coaching, and career development activities where applicable.

4. HR Data Management and Reporting

  • Maintain accurate performance management and training databases and records.
  • Collect, verify, and update HR development data received from departments.
  • Prepare reports and summaries on appraisal completion, training activities, participation rates, and implementation progress.
  • Prepare quarterly training updates, mid-year training review reports, and annual training reports highlighting completed activities, progress, gaps, outcomes, and lessons learned.
  • Prepare performance management completion reports and summaries for HR review.
  • Ensure reports are accurate, complete, and supported by appropriate documentation.
  • Maintain proper filing and documentation of performance management and training records.
  • Provide information and supporting documentation required for audits and compliance reviews.
  • Support the administration and updating of performance management and training information within HR systems.

5. HR Policy and System Implementation Support

  • Support the implementation of performance management and training policies, procedures, and guidelines.
  • Communicate HR processes and procedures to employees and supervisors.
  • Provide support and clarification to departments on performance management and training processes.
  • Monitor whether processes are being followed and report any issues or delays to the HR Manager.
  • Provide feedback on operational challenges and suggest improvements to enhance the implementation of HR processes.

QUALIFICATIONS & EXPERIENCE

Bachelor Degree in Business Administration/Human Resource Management

OR Advanced Diploma or Diploma in Human Resources Management/ Business Administration or equivalent qualification in management field with minimum 2–4 years’ experience in HR administration, training coordination, performance management support, or related HR functions

Experience in HR reporting, data management, and HR systems would be an advantage

Chartered Institute of Personnel and Development CIPD Level 3 (Foundation Certificate) or equivalent HR qualification is an added advantage
